Equipment details

Who can edit: Superuser Admin Field Tech  ·  Viewer sees a read-only sheet  ·  Where: any equipment link — or by scanning the unit's QR sticker

The complete record for one piece of equipment: identity and attributes, deficiency status, photos and file attachments (IR images, IR reports, digital IDs), its QR code, inspection snapshots, and an audit history. It's also the page a QR sticker scan lands on, which is why it behaves differently per role.

Scanning a QR sticker

Every unit's QR code encodes a link to this page by tag number, on the owning tenant's address. Scanning always requires signing in; what renders depends on the account:

  • Admins and Field Techs get the full page with all editing tools.
  • Viewers get a clean read-only equipment sheet — no edit controls, no QR card, and internal or draft deficiency notes are hidden. This is what makes Viewer accounts safe to hand to customers: their techs can scan a unit on their own floor and see its status without seeing your internal notes.

Header actions

  • Edit (Full Page) — the complete edit form, returning here afterward.

  • Quick Edit — a dialog for the frequent fields: tag number (labeled per your tenant's branding), name, site, location, make/model, NEMA and voltage dropdowns, and deficiency fields — without leaving the page.

    Field techs can't change the site assignment

    In Quick Edit the Site selector is admin-only; for Field Techs it's fixed with the hint "Field techs can't change the site assignment." Moving equipment between sites is an admin action.

  • Audit History — slides out the change log for this record: what changed, when, and by whom.

  • Print Report — opens the equipment report in a new tab for printing or saving.
  • Create Snapshot — records an inspection snapshot (see below).

The Managed toggle on the page is admin-only — Field Techs and Viewers see the status but can't flip it.

Deficiency status

The Deficiency Status section shows the unit's current deficiency level, priority, and notes, with an orange Deficiency badge when one is open. Use + Log New Deficiency to record a new finding — each entry becomes part of the unit's deficiency history, and the page always surfaces the most recent unresolved one as the current state. Notes come in three levels: internal (never shown to Viewers), report draft (also hidden from Viewers), and report final (what customers see).

Photos and file attachments

File-type attributes — Device Image, IR Image, IR Report, Digital ID — display as thumbnails; select one to preview it full-size. IR Reports keep every uploaded PDF, listed newest first, so thermal history accumulates rather than being replaced. Removing a file doesn't destroy it: it goes to the Dashboard's Removed Files — Pending Review queue, where an admin approves the removal or restores the file.

Equipment QR

The QR card shows the unit's code with Download PNG for printing stickers. The code encodes the tag-number link, so it keeps working even as other details change — and it matches pre-printed stickers made from the same tag number.

Inspection snapshots

Create Snapshot captures the record's state at a moment in time, with optional Snapshot Notes — use it to mark "as inspected on this date." The Last Inspection Snapshot card shows the most recent one, and Inspection History lists them all with who took each and when.

Troubleshooting

I scanned a QR code and got a login page. : Expected — every scan requires an account. Customer personnel need a Viewer account for their client; your techs use their normal sign-in.

A Viewer says they can't see the deficiency notes. : Internal and draft notes are deliberately hidden from Viewers; only final report notes are visible to them. To share a finding with a customer, put it in the final report notes.

The Site field in Quick Edit is locked. : You're signed in as a Field Tech — site reassignment is admin-only.

I removed the wrong file. : It's not gone. Ask an admin to open Removed Files — Pending Review on the Dashboard and select Restore.

The deficiency shown isn't the latest one. : The page shows the most recent unresolved deficiency. If a newer entry was already resolved, the older open one is still the current state — check the full history for the sequence.
