Manage equipment

Who can do this: Superuser Admin Field Tech (Bulk Preload is admin-only)  ·  Where: top navigation → Equipment

The master equipment list for your tenant, split into an Active table and a Retired table, with filtering, click-to-sort columns, and the retirement workflow. This is also where Add Equipment and the admin Bulk Preload live.

The filter card narrows both tables:

  • Site — pick one site or All sites. With a site selected, the header's add button becomes Add Equipment (this site) so new records land pre-assigned.
  • Search — matches tag #, code, name, serial, make, and model.
  • Show only Placeholder records — a switch that isolates placeholder equipment created by Bulk Preload, so you can see what still needs real data entered. (The switch only appears once your tenant has the Placeholder type.)
  • Filter applies; Clear filters resets everything.

Both tables sort by clicking any column header — Client, Site, Type, Subtype, Tag # / Code, Customer ID, Serial, Make / Model, Status (the Retired table adds a Retired date column and has its own quick search box).

Row actions

  • The Client and Site cells link straight to those pages.
  • View opens the equipment detail page; Edit opens the full edit form and returns you here afterward.
  • The Active / Retired toggle runs the retirement workflow below.

Retire equipment

Retiring takes a unit out of the active fleet while keeping its full history.

  1. On the equipment's row, switch the toggle from Active to Retired.
  2. The Retire Equipment dialog opens: "This will mark the equipment as retired and record the details below."
  3. Choose a Disposition: Removed from service, Sold, Scrapped, Replaced, or Other.
  4. Optionally add a Reason (up to 255 characters, e.g. "End of life, failed inspection…") and Notes.
  5. Select Confirm Retirement. Closing the dialog or selecting Cancel instead reverts the toggle — nothing is recorded until you confirm.

The record moves to the Retired Equipment table, stamped with when, by whom, and why.

Reactivate retired equipment

Switch the row's toggle back to Active in the Retired table. This clears the retirement record — date, disposition, reason, and notes — so treat reactivation as a genuine return to service, not a browsing action.

Bulk Preload (admins)

Bulk Preload creates placeholder equipment records in quantity — a setup-time tool for stubbing out a site before the field visit that fills in the real data. With a site filter active it becomes Bulk Preload (this site). Afterward, use the Show only Placeholder records switch to track which placeholders still need completing.

Troubleshooting

The retire toggle snapped back to Active. : The dialog was dismissed without Confirm Retirement — that's the cancel path working as intended. Toggle again and confirm to retire.

I can't find a unit I know exists. : Check the Retired table (it has its own search box), then clear all filters — an active site filter or the Placeholder switch quietly narrows both tables.

I don't see Bulk Preload. : It renders only for admins, and only once the Placeholder equipment type exists in your tenant.

My retirement didn't seem to save. : If the page had been open a long time, the security token may have expired. Reload and retry; the toggle state on reload reflects what's actually stored.
