Manage clients

Who can do this: Superuser Admin Field Tech (status changes admin-only)  ·  Where: top navigation → Clients

The Client Dashboard is where client records live: add clients (with logos and building photos), search and browse the list, update details inline, export to CSV, and run the two-step deletion workflow. Client deletion is deliberately a request-then-approve process so no client disappears on a single click.

Add a client

  1. Expand the Add Client card.
  2. Enter the Client Name — the only required field.
  3. Fill in what you have: Contact Name, Contact Email, Contact Phone, and the address fields. State defaults to AK and Country to US.
  4. Optionally upload a Client Logo (PNG/JPG/WebP) and one or more Client Building Images — these feed client-branded reports.
  5. Set the Client Status toggle: it defaults to Managed. Switch it off for an Unmanaged client (for example, a prospect or historical record).
  6. Select Add Client.

Find and browse clients

  • Type in Search clients and select Search.
  • Use the Show selector (10, 25, 50, or All) to control how many entries display.
  • If nothing matches, the empty state suggests trying a different search or adjusting the Show value.

Managed vs Unmanaged

Every client carries a status badge: Managed (green) or Unmanaged (gray). The status is informational for reporting and overview counts — and it's admin-controlled:

Field Techs can't change status

Field Techs can view and update client details, but the status control is disabled for them with the note "Status can only be changed by an admin." Any status value a non-admin submits is ignored — NorthGrid keeps the stored status.

Update a client

  1. Find the client's entry and select Update. An edit form expands inline on the row.
  2. Change the details (admins can also flip the Managed toggle here).
  3. Select Save Changes.

Export the client list

Select Export CSV above the list. The file contains every client in your tenant — ID, name, contact details, full address, and status — regardless of the current search or Show setting.

Delete a client (two-step workflow)

Deleting a client is intentionally split into a request and an approval:

  1. On the client's entry, select Request Delete. Nothing is deleted yet — the client moves into the Pending Client Delete Requests panel at the top of the page.
  2. Review the panel — its header reminds you: Approve to complete deletion.
  3. Approving the pending request is what completes the deletion. Until then, the client remains intact, and when the panel shows "No pending delete requests," nothing is queued.

Verify before you approve

The request step is your safety net; the approval is the point of no return. Confirm the client name in the pending panel before approving — a client's sites, equipment, and history hang off this record.

Troubleshooting

I don't see the Clients page at all — I get bounced to another page. : Viewer accounts don't use this page; they're routed to their assigned client automatically. Access here is for Admins and Field Techs.

I toggled a client to Unmanaged but it saved as Managed. : Status changes require an admin role — non-admin submissions keep the stored value. Ask an admin to make the change.

Export CSV gives me a "Forbidden" message. : The export link carries a security token that went stale. Reload the Clients page and select Export CSV again.

I requested a delete by mistake. : Nothing has happened yet — deletion only completes on approval. Leave the request unapproved and ask an admin to clear it from the pending panel.
